The academic calendar is an official programme schedule in which a personnel certification and training organisation plans and publishes in advance the training, examination and certification activities it will carry out within a given period, together with their dates, durations and quotas. Acquiring competence in the fields of Non-Destructive Testing (NDT), welding, quality and inspection requires the theoretical, practical and examination stages to be completed in a defined sequence and within minimum durations. The academic calendar ensures that these stages are positioned in a logical, consecutive order and in a way that does not clash with participants' work and field schedules. In this way the training organisation plans its resources (instructors, laboratory, test specimens, examination room) efficiently, while candidates manage their application, payment and preparation processes on a predictable basis.

The calendar operates on the basis of period-based planning. For each training programme, the start and end dates, lesson hours, practical days and examination appointments are announced in advance; participants choose from these dates the one that matches their own level and field and submit their application. Programmes are generally listed by level (for example Level 1, Level 2, Level 3) and by method (visual testing, penetrant, magnetic particle, radiography, ultrasonic, etc.). Since quotas are limited, the calendar serves to ensure that applications are received early and in an orderly manner, and that the instructor-to-candidate ratio, laboratory capacity and examination board availability are kept within limits that do not compromise training quality.

Each line in the academic calendar is in fact the outward reflection of a training module designed in the background. The duration of a programme in the calendar is determined by the sum of the minimum theoretical hours, minimum practical hours and examination time foreseen by the relevant standard. For example, in NDT methods the minimum training hours and the depth of practice required increase as the level rises; the calendar reflects this difference in the number of lesson days and laboratory sessions. Renewal (recertification) and re-certification activities are also planned as separate lines, since there are date windows within which they must be completed before certificates expire.

In practical terms, the calendar makes the candidate's certification journey visible from end to end: the date by which the prerequisites (minimum experience, vision examination, prior training) must be completed, the application and document submission deadline, the days on which the training will take place, the practical examination appointment and the theoretical examination session can all be tracked in a single schedule. This completeness makes it easier for candidates to plan their preparation time correctly and for corporate participants to direct their personnel to training in line with field shifts. The calendar also serves as a reference point through which situations such as cancellations, postponements and additional quotas are announced transparently.

Method

The academic calendar process begins with period-based planning: instructor, laboratory and examination board availability and quotas are determined, and start/end dates, lesson hours, practical days and examination appointments are established for each programme (planning). The candidate selects the date suitable for their field and submits an application; the prerequisites (minimum experience, vision examination, required documents) are checked and the registration is confirmed within the available quota (application and approval). Theoretical training and practical sessions are completed on the dates announced in the calendar (training), followed by the theoretical and practical examinations required by the relevant standard (assessment). Certificates are issued for successful candidates and the entire process is recorded traceably with date records (certification and reporting).
